Terms and Conditions - Sprachtreff

  1. Registration for courses and exams is done electronically via our website or, in exceptional cases, via our printed registration form.
  2. Registration for Sprachtreff Frankfurt courses constitutes acceptance of the General Terms and Conditions in the version valid at the time of registration.
  3. One lesson/lesson lasts 45 minutes. There is a 25% surcharge for educational leave with a time hour requirement.
  4. The minimum number of participants for all courses (except individual and company courses as well as German intensive courses, which are not integration courses) is three. If there are less than three people in a course, we may reduce the course on a pro-rata basis. For German intensive courses that are not integration courses, the minimum number of participants is 5. If there are fewer participants, the number of hours can be reduced proportionally from 80 hours to 60 hours.
  5. Payment: After receiving your registration, you will receive an invoice and booking confirmation, upon receipt of which a deposit becomes due. Final payment is due prior to the start of classes. Payment can be made in cash, by bank transfer or by direct debit.
  6. Registration fee: €20 per person and course, once a year.
  7. Registration fee for participants with educational leave: €29.90.
  8. Installment payments are possible on request against payment of an administrative fee of 20 € plus VAT. of the market interest rates for the respective outstanding installment is possible.
  9. Class cancellations due to holidays will be made up, extending the term accordingly.
  10. Compensation for missed lessons: We credit you for one missed lesson per course duration of 12 weeks; when booking the intensive course over 8 weeks (Type 2), we credit you for two lessons. When booking two or three related courses of six or nine months duration, these are two or three dates accordingly. This means that even longer absences, such as vacations, can be compensated for. Cancellations must be communicated to us within 36 hours before the start of the course. If there are only 2 participants, we cannot consider absences.
  11. Flexibility: If you already know when booking that you will only attend the course irregularly, we recommend purchasing a ten-lesson card, which gives you a total of 20 hours, i.e., 10 lessons, with a validity of four months and allows you to schedule freely.
  12. Sprachtreff Frankfurt reserves the right to relocate or combine courses if the minimum number of participants is no longer reached, or to use another teacher.
  13. Cancellation / extension of evening courses in face-to-face or online classes (type 1+2). After the expiration of the contract period confirmed by us, no new registration is required, as the renewal is automatic unless you have submitted a written cancellation at least three dates before the end of the course. If you wish to renew only on a monthly basis, please contact us in due time(at least 3 dates before the end of the course).
  14. Appointment cancellations/changes: Participants in individual lessons and closed groups (all participants register together, additional bookings by Sprachtreff are excluded) must cancel scheduled appointments in time at the “Sprachtreff” office: 36 hours from Monday to Friday – not on weekends! – cancel or rebook in advance. Appointments that are not canceled or canceled too late cannot be made up. Hours not taken but booked and paid for may be deferred for up to eight months and will expire after the eighth month. After six months Sprachtreff Frankfurt is entitled to change the price if necessary.
  15. Rebookings for all courses, except individual lessons, require written form regarding dates, course type, and target language. Up to 6 weeks before the start of the course, a free rebooking is possible. Thereafter, Sprachtreff Frankfurt reserves the right to charge an expense-based rebooking fee of 15 to 25 €. For exams, the rebooking fee is €75 until the day before the exam.
  16. Withdrawal/Cancellation: Cancellations of booked courses should be made in writing immediately. Up to 30 days before the course starts, you will incur costs of 15% of the course fees, but at least €50 (€75 for Telc exams). Up to 15 days before the start of the course 30%, up to 7 days before the start of the course 50% of the course fees. If you stay less than 7 days, you will be charged 75% of the course fees. If you do not show up for the start of the course or drop out early, you will be charged 100% of the course fees. In any case, the customer is at liberty to prove to Sprachtreff that the latter has not suffered any damage at all or that the damage is considerably less than the lump sum demanded by Sprachtreff. Statutory provisions regarding cancellation remain unaffected.
  17. Discount: Students, pupils, trainees, and job seekers up to 27 years of age receive a 5% discount on the list price upon presentation of appropriate proof. A combination of different discounts is excluded.
  18. Liability: (1) The language school’s liability for damages, regardless of the legal basis, is limited to the extent permitted by law. (2) The language school is fully liable for intent and gross negligence, for injury to life, body, or health, and under the provisions of the Product Liability Act. (3) In cases of simple negligence, the language school is only liable for breach of essential contractual obligations (cardinal obligations). In this case, liability is limited to the typical, foreseeable damage under the contract. (4) Any further liability is excluded. Mandatory statutory provisions remain unaffected. (5) The language school assumes no liability for the loss or damage of participants’ personal belongings, unless there is intentional or grossly negligent conduct.
  19. Exclusion from participation: (1) The language school is entitled to exclude participants wholly or partially from participation in courses if (1.1) they significantly disrupt the lessons, (1.2) they violate the house rules (e.g., through excessive alcohol consumption), (1.3) they harass or endanger other participants or teachers, (1.4) they repeatedly violate contractual obligations despite warnings. (2) In the event of exclusion, there is generally no entitlement to a refund of course fees already paid, unless the exclusion was made without good cause. Statutory claims remain unaffected. (3) The language school reserves the right to exclude participants from lessons without notice if there is good cause.
  20. Data protection: (1) The language school processes participants’ personal data exclusively within the framework of applicable data protection laws, in particular the General Data Protection Regulation (GDPR). (2) Processing is carried out for the purpose of contract performance, in particular for the organization and implementation of language courses and for communication with participants. (3) Data is only shared with third parties to the extent necessary for contract fulfillment or where there is a legal obligation. (4) Further information on data processing and the rights of data subjects (access, correction, deletion, etc.) is contained in the language school’s separate privacy policy. (5) Mandatory statutory data protection provisions remain unaffected.
  21. Severability: The invalidity of individual provisions does not result in the invalidity of the entire contract. In place of the invalid provision, the statutory provisions apply.
  22. Participants have a statutory right of withdrawal. Further information can be found in our withdrawal policy.

Conditions of participation for the telc exam at Sprachtreff

  1. Registration for the exam is binding.
  2. The exam fee is payable by the registration deadline stated in each case at the latest. Once we have received your payment, we will send you an e-mail confirming your registration.
  3. The agreed examination date cannot be postponed by the participant. If you are unable to attend due to illness or do not come on the exam day, you can postpone/cancel the appointment for a processing fee of €75. Please submit a medical certificate by the day of the exam (no later than 3 pm). After that, we will no longer be able to honor your cancellation and will have to charge you the full amount.
  4. Before the examination date, the participant must identify himself/herself with his/her identity card or passport. We would like to point out that we carefully check the identity of participants when checking ID cards and always involve the police in the event of justified suspicion of identity falsification.
  5. Before the examination, cell phones and other means of communication must be handed over to the supervisor.
  6. Please make sure that you arrive on time for the exam. If you are late, regardless of the reason, you will not be able to take the exam and the exam fee will not be refunded.
  7. The current examination regulations of telc gGmbH apply and you agree to comply with them when you register. These can be found on the telc gGmbH website at www.telc.net/sprachpruefungen/zertifikatspruefung/agb-pruefungsordnung/ (telc examination regulations). Please note in particular under “Examination regulations for telc examinations” §5 (unauthorized aids) and §6 (cheating).
  8. When the test results are available, you will receive information from us by e-mail. The certificates can then be collected during our office hours. Please remember that you will be asked for identification when you collect your bike. If you wish to have the certificate sent by post, leave a shipping fee (shipping within Germany, abroad on request) of €15 and the postal address to which the certificate should be sent on the exam day.
  9. We reserve the right to cancel the exam in justified exceptional cases. In these cases, we will refund the exam fee. We cannot accept any further claims.

Withdrawal Policy

  1. Right of withdrawal: Within the meaning of § 13 BGB, you have the right to withdraw from this contract within 14 days without giving reasons. To exercise your right of withdrawal, you must inform us of your decision to withdraw from this contract by means of a clear statement (e.g. a letter sent by post, fax or e-mail).
    To meet the withdrawal deadline, it is sufficient for you to send your communication concerning your exercise of the right of withdrawal before the withdrawal period has expired. The period begins at the earliest with receipt of this instruction. The revocation is to be addressed to:

  2. Consequences of withdrawal: If you withdraw from this contract, we must refund all payments we have received from you, including delivery costs (with the exception of additional costs resulting from your choice of a type of delivery other than the cheapest standard delivery offered by us), immediately and at the latest within 14 days from the day on which we received notification of your withdrawal from this contract. For this refund, we will use the same means of payment that you used for the original transaction, unless expressly agreed otherwise with you; in no case will you be charged any fees for this refund.
    If you have requested that the services begin during the withdrawal period, you must pay us a reasonable amount corresponding to the proportion of services already provided up to the time you notify us of the exercise of the right of withdrawal with respect to this contract, compared to the total scope of services provided for in the contract.
